Main job purpose
The People Data Controls Specialist is responsible for ensuring the accuracy, consistency, and reliability of people data at a global level. This role involves managing data quality processes, identifying and resolving data issues, and implementing data governance and control practices to support effective decision-making and reporting. The candidate will have a good level of Workday HCM and Organizational Hierarchy knowledge, and a passion to develop into a data process control SME. It is important that you have previous experience of working in Workday, including the ability to perform UAT and contribute to project workshops and discussion using Workday knowledge.
Key Accountabilities
Lead Workday enhancements by collaborating with key stakeholders to facilitate scoping of business requirements, raising demands, liaising with HR-IT to ensure accurate configuration, support UAT testing, implementation, hyper care and any necessary change and comms support.
Plan, design and implement system based preventative controls that ensure accurate entry of data at the initiation stage of data entry, or the next best appropriate step in the process. Use Test environments for experimentation of solutions, building proof of concept, testing Workday ways of working, feature adoption and feasibility.
Propose rule based, automated controls, with a view to remove or reduce the amount of manual data correction required across processes. Alongside performance metrics that measure the efficacy of controls or automations the team implement.
Liaise and support Journey/Transformational process design or process change to ensure that the PDX data fundamentals, data governance and control principles are embedded to avoid reactive responses to data inaccuracies.
Maintain central oversight via the Data Controls Framework/Catalogue of Data Control initiatives across PDX and global Journeys and Global Expertise, as appropriate.
Collaborate with IT and other data departments (ODPA, D&A) to optimize data flow, and data management systems and processes. Collaborate with data owners and stakeholders to ensure data accuracy and integrity.
Identify opportunities for process improvements to enhance data quality.
Create a roadmap of continuous improvement and lead data quality projects and initiatives to drive continuous improvement.
Liaise and support GPS, Access & Security, MDM and Governance teams within PDX to enable and support initiatives that drive data controls and continuous improvement. Be the engine that helps drive a holistic approach across the PDX function.
Have a working knowledge of the Workday reports, able to extract required data for projects. Experienced in building and loading EIBs for mass data uploads to support large scale change and projects related to large scale correction or data migrations without requiring the support of HRIT. Complete and perform data uploads using EIB’s, review system errors and kick outs, validate corrections.
Provide training and support to data users on data quality best practices.
Communicate data quality findings and recommendations to senior management.
Leadership Behaviours and Experience required:
Bachelor’s degree in data management, Information Technology, Business Administration, or a related field.
3-5 years previous experience working within Workday HCM is essential. Other modules such as Recruitment, Performance, Learning, Organisation Hierarchies would be desirable but not essential.
Proven experience in data quality management, data governance, or a similar role with transferrable skills.
Strong analytical skills and attention to detail.
Proficiency in data management tools and software (e.g. Excel, Workday, Power BI).
Experience with SQL, Python, useful but not essential.
Excellent communication and collaboration skills.
Ability to work proactively, independently and as part of a global team.
Knowledge of data protection regulations and best practices.
Strong problem-solving skills and the ability to identify and resolve data issues.
Project management skills and the ability to lead data quality initiatives.
Understands the end of end process or flow of data, with knowledge of the upstream and downstream dependencies.
