JOB PURPOSE:

Ice Cream is the place where you can bring your purpose to life with the work that you do – creating a better business and a better world.  If you are ​keen to contribute to the effectiveness and efficiency of the business by providing a high level of assistance and support in the diversified range of activities for the General Manager and the Leadership team as required, ​then this role is just for you! 

KEY RESPONSIBILITIES:

  • Promotes efficient time management through effective diary and meeting management: 

- Ensuring attendance of the leadership team at meetings on schedule with adequate preparation and information  

  • Supporting leadership team in preparation and follow-up of LT meeting  

  • Managing all aspects of meetings held on site (eg booking of rooms, catering, necessary logistics) 

  • Organise domestic and international travel including necessary visas, accommodation, ground transport, and necessary logistics.  

  • Promotes a teamwork environment by effectively liaising with senior staff and others on behalf of the General Manager, taking necessary follow-up action and preparing progress reports as required. 

  • Event Management: Support the team and help execute all external customer events 

- Provide support for all internal events and meetings e.g Conferences, Townhalls, Huddles.  

- Organises Leadership team meetings and away days  

- Supports and helps execute all internal visitors’ programmes  

- Provides support for external engagements  

  • Expenses & Invoices: 

- At beginning of every month, ensure expenses are completed and sent to Accounts Department 

- Ensure all approvals completed within time frames for expenses on all relevant systems.  

- Raise purchase orders as requested by LT through Coupa and process invoices in Omniflow  

  • Paying invoices for Relevant suppliers  

- Contributes to the culture of the team through keeping the pulse on overall team sentiment and working closely with the LT to drive engagement  

- Contact for all employees and Building Manager for office maintenance


QUALIFICATIONS :

  • ​​2+ years of experience supporting senior management within a corporate environment, preferably cross-functional  

  • ​Office management experience highly desirable 


WHAT YOU NEED TO SUCCEED:

  • ​​Exceptional time management and organisational skills  

  • ​Attention to detail and a willingness to lean in to help the LT be at its best 

  • ​Highly organised, structured and ability to prioritise   

  • ​Adaptable, can cope with change 

  • ​Excellent interpersonal and communication skills  

  • ​Diary/calendar management  

  • ​Proficiency in using MS Word, MS Excel and MS PowerPoint​

ADDITIONAL INFORMATION

As publicly announced, it is envisaged that Unilever will internally separate its Ice Cream business by July 2025, at which point this role will transfer to the new Ice Cream company. It is expected that the Ice Cream business will then separate from Unilever by the end of 2025. Any impact on terms and conditions of employment will be communicated in due course. This proposal is subject to consultation where legally required.

You will be eligible for relocation support in the form of flights (to NL), immigration and tax support (in the year of move) and a lump sum in cash to be paid out during the first salary payment in the Netherlands. No further relocation support will be provided in a self-initiated CLOC.
