About the Role

We are looking for a Team Assistant to join the team and provide administrative and operational support to multiple senior leaders based across geographies. You will ensure seamless calendar coordination, meeting and travellogistics, and be responsible forpurchase order management. The role requires discretion, agility, and strong stakeholder engagement across time zones.

Key Responsibilities

Diary & Calendar Management:

  • Manage complex calendars for multiple Leadership Team members across UK and USA time zones.

  • Book meeting room and register guests.

  • Schedule meetings, workshops, and events, ensuring alignment across global diaries.

  • Coordinate travel arrangements, including visas, itineraries, and logistics where required

Purchase Order & Finance Support:

  • Raise and track purchase orders

  • Resolve PO queries with suppliers and ensure timely invoice processing

  • Liaise with the Finance Controller to ensure PO alignment with budget and billing.

  • Process expenses

Team & Office Support:

  • Support onboarding of new team members, including systems setup, security passes, and induction plans.

  • Organise team meetings, workshops, and corporate events from planning to execution.

  • Provide ad hoc administrative support to the wider team and cover for the CEO’s EA during absences.

  • Support the CEO’s EA with ad hoc work such as meetings, chief of staff admin work

  • Ordering supplies, booking meeting rooms, restaurants, arranging lunches, etc.

Stakeholder Engagement

  • Build strong relationships with internal and external stakeholders, including PAs, BDs, and support teams across Unilever and the Prestige brands.

Skills & Experience Required

  • Proven experience in a similar PA/TA role supporting senior leaders.

  • Strong organisational and time management skills.

  • Proficiency in Microsoft Office, Teams, Concur, and MyBuy.

  • Excellent communication and interpersonal skills.

  • Ability to work independently with initiative and handle confidential information with discretion.

Recruitment Fraud

Cyber criminals advertise fake job adverts with prestigious employers as a way of stealing information or even defrauding individuals out of money. In the most sophisticated cases, they will set up fake websites, which have a similar address to companies like Unilever. They even conduct fake telephone interviews and then offer candidates a role with the proviso they pay a fee for background checks or to cover work visa costs.  These types of attacks are becoming more common as more people are looking for employment in the economic climate.

How is Unilever tackling this?

Many of Unilever’s recruitment sites publish a warning to candidates about recruitment fraud. The Cyber Security team also proactively scan for signs of people setting up fake Unilever sites and act to close them down.

What can I do?
