Role Responsibilities:
Order stationary/office supplies and manage the commodities budget.
Personal assistant duties including diary management, travel arrangements and leave planners for the Head of Manufacturing.
Support the Leadership team with team activities, recognition awards, vouchers, catering and similar.
Involvement in and coordination of local project activities including Streets Day, family events, Away Day, school events, local charities and local council programs and similar events.
Format reports, presentations and correspondence in a high professional standard for the Head of Manufacturing and Leadership team.
Organise and coordinate special events, conferences, external visitors and team building events for the Head of Manufacturing and Leadership team.
Maintain group distribution lists for communication.
Maintain efficient filing recording and information systems.
Process monthly expenses for the Head of Manufacturing.
Manage and order team hardware including IT equipment, phones etc. and onboard new employees.
Manage and coordinate couriers, mail and deliveries.
Manage and coordinate monthly engagement activities including team briefs, bbq, ice cream orders, awards and vouchers.
Support and Coordinate Tier 4 & 5 Meetings.
Manage factory main passport and presentations with the Head of Manufacturing.
Manage and complete office-based refurbishments and projects as needed.
Coordinate invoicing for council, canteen catering, cleaning and landscaping.
Manage 5S for cleanliness in the canteen, gardens and communal areas.
Manage Asset control of parcels, giveaways and ice cream products and similar.
Update factory policies with the latest changes under the direction of the Head of manufacturing.
Manage large external events including calendar management, location, bookings including annual away day.
What you will need to succeed
Experiences & Qualifications
- Proven experience as an Executive Assistant or Office Manager.
- Exceptional organisational, planning, co-ordination and time management skills with superior attention to detail, ability to manage competing demands.
- Excellent interpersonal and strong verbal and written communication skills.
- High degree of tact and diplomacy and a respect for confidentiality in all matters.
- Positive, professional, pro-active and, resilient "can do" approach.
Skills
- Superior interpersonal and Communication skills.
- Solid customer service and relationship management skills.
- Experience participating in mediations is required.
- Strong analytical skills and attention to detail.
- Ability to anticipate needs and solve issues proactively.
- Strong multi-tasking skills with a comfort in maintaining multiple, often conflicting, priorities, and deadlines.
- Demonstrated ability to work independently as well as in a collaborative team environment.
