Purpose:
The Senior Workplace Service Executive will ensure efficient and effective management of workplace operations, serving as the sole on-site representative responsible for facilities and office operations, including project coordination and front desk operations.
This individual plays a key role in cultivating a productive and welcoming work environment, independently managing daily office functions, vendor relationships, administrative support, and workplace experience initiatives. Reporting to the Workplace Assistant Manager based in Cambodia, this individual must be self-reliant, proactive, and highly adaptable—with a keen eye for detail and a hands-on approach to solving problems and delivering excellence across multiple tasks and priorities.
Main Duties and Responsibilities:
Key Responsibilities/Accountabilities:
- Front Desk Management and Receptionist:
- Greeting Visitors: welcome guests and clients.
- Answer the phone: manage incoming calls.
- Hotel Booking: checking guests In and Out for hotels or similar venues if required.
- Providing Information: Serve as a point of contact for inquiries, providing information and assistance as needed.
- Time Management: Prioritize tasks effectively to manage high workloads.
- Facilities Management: Manage and coordinate Facilities Management (FM) services, including cleaning, security, pest control, office supplies, parking management, fixed asset management, repairs and maintenance, and record keeping.
- Vendor and Stakeholder Management: Manage relationships and contracts with service providers, ensuring service level agreements are met. Build and maintain positive working relationships with service providers, internal stakeholders (HR, IT, Finance, SHE, etc.), and external stakeholders.
- Budget Management: Monitor budget spending and ensure adherence to approved budgets. Responsible for raising Purchase Orders, invoice validation and submit for payment processing.
- Compliance and Safety: Monitor and support workplace safety and security. Collaborate with SHE team in implementing company policies, incident reporting, coordinating emergency evacuation drills, ensuring a coordinated and proactive approach to workplace safety.
- Project Support and Coordination: Provide support during facility management projects, including fit-out, renovation, reinstatement, and office moves. This includes vendor communications, quotation request, issuing POs, overseeing on-site works, working with the project team/lead on successful completion of the project.
- Communication and Reporting: Ensure timely and accurate performance reporting. Act as a point of contact for workplace-related issues, resolving them promptly and efficiently.
- Events Support: Wellbeing and internal events, VIP visits support, etc.
Key Requirements:
- Bachelor's degree in a relevant field (e.g., engineering, facilities management, business administration) or equivalent practical experience.
- Minimum 3 years of experience in workplace services, with a focus on corporate services, integrated facilities management, or equivalent.
- Excellent communication (written and verbal), leadership, and interpersonal skills. Fluency in written and spoken English.
- Service delivery mindset and service excellence mindset.
- Ability to work independently and remotely.
- Strong proficiency in MS Office Suite
